GENERAL INFORMATION AND USPS

  • DLR’s framework agreement partner BESL will provide a high customized digital platform that is easy to use, surprising and attractive – and at the same time fulfills the highest data security requirements.
  • This high customized virtual event platform is developed by BESL. BESL is a German company based in Berlin, Germany
  • For ECSSMET 2021 BESL will provide and set-up of all technology, e.g. camera, lighting and sound technology
  • The virtual production of the ECSSMET 2021 will take place at the BESL broadcast studio in Berlin.
  • Highly scaled server infrastructure is used for stream delivery and broadcasting technology. All delivering servers are located in Germany and meet the applicable security standards.
  • All data is encrypted according to current standards (TLS/AES256).
  • BESL provides a powerful web-based online tool including all necessary features such as polling and voting, live chat, video streaming, etc.
  • Web-based access to the event platform via web browser, therefore no installation of software and no change of applications necessary during the event.
  • The virtual platform guarantees a high quality in audio and video and a very high stability even with low bandwidth

DATES AND DEADLINES

  • 15th of February 2021: Technical briefings and detailed guidelines for speakers will be sent out, appointments for technical system checks are made
  • 22nd of February – 14th of March 2021: online system check & configuration settings for all speakers ECSSMET
  • 28th of February 2021: Final deadline for submitting presentations / papers / posters etc.

 

POSTERS

  • Submitted posters will be presented on a separate subpage on the conference platform.
  • The posters can be reached on all three conference days.
  • Poster authors can be contacted by participants via text chat.

These are the terms and conditions governing your participation in the virtual ECSSMET 2021 conference.

 

By registering for the virtual ECSSMET 2021 you agree to these participation terms and conditions.

 

If you are registering on behalf of another individual, it is your responsibility to ensure the person participating is aware of these terms and accepts them. By completing the registration on behalf of another individual you are warranting that you have made the participant aware of these terms and that they have accepted these terms.

Registration Guidelines

A confirmed registration is required in order to participate at the virtual 16th European Conference on Spacecraft Structures, Materials and Environmental Testing.

 

Registration to ECSSMET 2021 re-opened on the 9th April 2020 and is possible only via the registration facility on this website.

 

BESL Eventagentur GmbH & Co. KG is the external partner for participant registration and is also responsible for
the invoicing and collection of participation fees.

The following means of payment are available:

  • Payment by credit card (MasterCard and Visa Card)
  • Pay Pal
  • Bank Transfer

Upon the completion of the registration process, an electronic confirmation of the registration will be generated by the system and automatically sent to the e-mail address provided by the user.
Your participation can be confirmed only when the registration fees have been paid in full.

The registration fees for the virtual conference. Compared to the face-to-face event, the fees have been reduced.

Participants who were already registered and have already paid the conference fee will receive a refund of the overpaid conference fees in October 2020.

The Registration fees for the virtual conference participation vary according to the registration period (Regular Bird; Late Registration) and are reduced for students.

 

We have extended the registration deadline for ECSSMET by one week. Registration deadline is now 22th March 2021.

 

The registration fee changes from regular to late rates as from the 31st January 2021. The late rate is now bookable until 22th March 2021.

 

Those participants whose participation fees have not been settled by the first day of the virtual event will not be granted entry on the virtual ECSSMET platform. Please e-mail any amendments or cancellations regarding your participation to ecssmet2021@dlr.de.

 

Upon submitting the Online Registration Form, each participant will receive a unique invoice number by e-mail. Please do not send any payments by bank transfer without quoting the invoice number and the participant’s name included in the payment details. Payments without the required reference information cannot be processed.

Please note that during the registration process, students will be asked to upload a proof of their status (for example, a valid student ID) as a method of verification. Further please note that PHD-students are not included in this group and are asked to register as a Regular Participant.

 

Regular Participant and Student Registration fee of the virtual ECSSMET 2021 includes:

  • Admission to the entire virtual scientific program of the conference (oral and poster area)
  • Interactivity – with the possibility of Q&A
  • Oral presentations are live

Cancellation

CANCELLATION & REFUND POLICY

Cancellation requests should be submitted in writing by e-mail to ecssmet2021@dlr.de. Please note that the refunds will be made after the conference only.

 

REFUND POLICY

Please refer to the following important deadline for a cancellation:

 

For participants who were already registered by 12th August 2020
If you are already registered and your participation at the new meeting dates might not be possible, please cancel your registration until 20th October 2020. You will receive a full refund of your registration fee.

 

For all participants who were not yet registered by 12th August 2020, the following deadlines Cancellation & Refund Policy apply
Until the 15th December 2020: 100% refund minus a 50 EURO administrative charge; after the 15th December 2020, there will be no refund.

I will not participate at the virtual conference

Do I need to withdraw my abstract?
Yes. You can withdraw your abstract. Please use your abstract account.

 

Do I have to cancel my registration?
Yes. Please write to vms@dlr.de.

 

Do I have to pay a cancellation fee?
No. You will receive a full refund of your registration fee.
Your Cancellation must be done until the 20th October 2020

 

Can I re-register at a later time?
Yes. You can register again at any time for the virtual conference

 

Can I re-submit an abstract at a later time?
Yes. The abstract deadline will be open until the 16th October 2020.

I will participate at the virtual conference

Do I have to register again?
No. Your registration is still valid for the virtual conference but the participation fee for ECSSMET 2021 is significantly reduced.

Do I have to re-submit my abstract?
No. Your abstract is still under consideration for the new conference. Abstract selection will be made from the 4th October and notification to authors sent by the 15th November according to the new schedule.

 

Can I edit my abstract?
Yes. You can edit your abstract. Please use your abstract account.

 

Can I submit a new abstract?
Yes. You can submit a new abstract until the new abstract deadline of 4th October 2020.

How to discuss with poster submitters?

Discussion about submitted posters can be done in several ways:

  • via the contact details,
  • via a text chat or
  • via the virtual networking tables, which are open on all virtual conference days during the breaks / daily after the virtual conference

How to visit an exhibitor?

The exhibition area offers exhibitors a virtual platform to present their companies, products and services and to get in touch with interested visitors.

  • The virtual event platform provides attendees with an overview of all exhibitors.
  • By clicking on the logo or list entry, participants can access the virtual exhibitor booth and contact the exhibitor there via contact form or video chat.
